1. Introduction

Welcome to Tennivo ("we," "us," "our," or "the Platform"). Tennivo is a tennis club management platform that connects players with tennis clubs, facilitates court bookings, manages club memberships, organizes tournaments, and provides analytics tools for tennis communities.

By accessing or using Tennivo (the "Service"), you agree to be bound by these Terms and Conditions ("Terms"). If you do not agree to these Terms, you may not use the Service.

These Terms constitute a legally binding agreement between you (the "User") and Tennivo. Please read them carefully.

2. Account Registration

2.1 Account Types

Tennivo offers two types of accounts:

  • Player Account: For individual tennis players who want to find clubs, book courts, participate in tournaments, and track their progress.
  • Club Admin Account: For authorized representatives of tennis clubs who manage club profiles, members, courts, bookings, and events.

2.2 Registration Requirements

To create an account, you must:

  • Be at least 13 years of age (or the minimum age required in your jurisdiction)
  • Provide accurate, current, and complete information during registration
  • Maintain and promptly update your account information
  • Maintain the security and confidentiality of your password
  • Accept responsibility for all activities that occur under your account

2.3 Club Admin Verification

Club Admin accounts may require verification of authority to represent the tennis club. We reserve the right to request documentation proving your association with and authorization to manage the club.

3. Trusted Player System

3.1 Trust Levels

Tennivo uses a trust-based system to manage court booking privileges:

  • New Players: Cannot book courts independently until approved
  • Trusted Players: Approved members who can book courts directly
  • Coaches: Authorized to book courts for lessons and training
  • Staff: Club staff with booking privileges

3.2 Earning Trust Status

Trust status is granted by club administrators based on criteria such as:

  • Membership application approval
  • Payment of club dues (when applicable)
  • Demonstrated responsible behavior
  • Regular participation in club activities

3.3 Trust Responsibilities

Trusted players must:

  • Honor all bookings or cancel with adequate notice
  • Arrive on time for reserved court time
  • Follow club rules and etiquette
  • Report any issues or damages immediately

3.4 Loss of Trust Status

Trust status may be revoked by club administrators for reasons including but not limited to:

  • Repeated no-shows or late cancellations
  • Violation of club rules
  • Inappropriate behavior
  • Non-payment of club fees (when applicable)

4. Club Membership

4.1 Membership Application

Players may apply for membership at any tennis club on the platform. Club administrators have sole discretion to approve or reject membership applications based on their club's policies.

4.2 Membership Status

  • Pending: Application submitted, awaiting club admin review
  • Active: Membership approved by club admin
  • Rejected: Application declined by club admin

4.3 Withdrawal

Players may withdraw their membership or cancel pending applications at any time through their dashboard. Withdrawal does not entitle players to refunds of any club fees paid directly to the club.

4.4 Multiple Memberships

Players may hold memberships at multiple clubs simultaneously. Each membership is independent and subject to the respective club's rules and policies.

5. Court Bookings

5.1 Booking Privileges

Court bookings are available exclusively to trusted players, coaches, club staff, and club administrators. Court bookings through Tennivo are free — the platform does not charge for booking services.

5.2 Booking Process

  • Bookings are made through the platform's calendar interface
  • Bookings are subject to court availability
  • The platform prevents overlapping bookings on the same court
  • Booking confirmation is immediate upon submission

5.3 Cancellation Policy

Players may cancel bookings through their dashboard. Cancellation policies are set by individual clubs and may include:

  • Minimum notice requirements for cancellations
  • Penalties for late cancellations or no-shows
  • Temporary suspension of booking privileges for repeated violations

5.4 Booking Types

  • Lesson: Coaching sessions between coaches and students
  • Booking: Regular court reservations for play
  • Private: Reserved time for specific purposes

5.5 Booking Privacy

Your own bookings display full details. Other users' bookings show limited information (time, court, type) to protect privacy while preventing scheduling conflicts.

6. Payments & Fees

6.1 Free Court Booking

Tennivo does not charge fees for court bookings. Bookings made through the platform are free for all trusted players. Any club membership fees, court fees, or other charges are determined and collected directly by the tennis club, not through Tennivo.

6.2 Future Payment Features

Tennivo may introduce payment features in the future for services such as:

  • Tournament entry fees
  • Premium club features or subscriptions
  • Coaching services
  • Additional services (e.g., racket stringing)

Users will be notified and provided with updated terms before any payment features are implemented.

6.3 Direct Club Fees

Clubs may charge membership fees, annual dues, or other fees independently of Tennivo. These fees are the sole responsibility of the club and the player. Tennivo is not responsible for collecting, processing, or refunding such fees.

7. User Conduct

7.1 Acceptable Use

You agree to use Tennivo only for lawful purposes and in accordance with these Terms. You agree not to:

  • Violate any applicable laws or regulations
  • Infringe on intellectual property rights of others
  • Upload malicious code, viruses, or harmful content
  • Harass, threaten, or abuse other users
  • Impersonate any person or entity
  • Create false or misleading information
  • Attempt to gain unauthorized access to the platform
  • Interfere with the proper functioning of the Service

7.2 Respectful Communication

All users must maintain respectful and professional communication when interacting with other players, club administrators, and platform staff. Discrimination, harassment, or offensive behavior will not be tolerated.

7.3 Accurate Information

Users must provide accurate information about their skill level (NTRP rating), availability, and other profile details. Misrepresentation may result in account suspension.

8. Club Admin Responsibilities

8.1 Data Accuracy

Club administrators are responsible for maintaining accurate and up-to-date information about:

  • Club profile (name, location, contact information, facilities)
  • Court details (surface type, availability, conditions)
  • Membership policies and requirements
  • Club rules and guidelines

8.2 Member Management

Club administrators must:

  • Review membership applications in a timely manner
  • Apply consistent and non-discriminatory membership criteria
  • Manage trust levels fairly and transparently
  • Respond to player inquiries and concerns
  • Maintain appropriate records of member activities

8.3 Court Management

Club administrators are responsible for:

  • Ensuring courts are safe and properly maintained
  • Updating court availability and scheduling
  • Resolving booking conflicts
  • Communicating court closures or maintenance schedules

8.4 Compliance

Club administrators must ensure their club operates in compliance with all applicable local laws, regulations, and safety requirements. Tennivo is not responsible for club operations or compliance.

9. Intellectual Property

9.1 Platform Ownership

Tennivo and its original content, features, and functionality are owned by Tennivo and are protected by international copyright, trademark, patent, trade secret, and other intellectual property laws.

9.2 User Content

You retain ownership of any content you submit to the platform (profile information, photos, descriptions). By submitting content, you grant Tennivo a worldwide, non-exclusive, royalty-free license to use, display, reproduce, and distribute your content in connection with operating the Service.

9.3 Prohibited Use

You may not copy, modify, distribute, sell, or lease any part of the Service without express written permission from Tennivo.

10. Privacy & Data Protection

10.1 Privacy Policy

Your use of Tennivo is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information.

10.2 Data Collection

We collect information necessary to provide the Service, including:

  • Account information (name, email, phone)
  • Profile data (NTRP level, play mode, preferences)
  • Booking history and activity data
  • Tournament participation and results

10.3 Data Sharing

Your profile information may be visible to clubs you apply to or join. Booking details are visible to club administrators to facilitate court management. We do not sell your personal data to third parties.

11. Tournaments & Competitions

11.1 Tournament Types

Tennivo facilitates various tournament formats:

  • Internal: Club-only tournaments
  • Interclub: Matches between clubs
  • Open: Public tournaments open to all players

11.2 Registration

Tournament organizers set registration requirements, deadlines, and entry criteria. Players are responsible for meeting these requirements and confirming their availability.

11.3 Rankings

Tournament results may affect player rankings and statistics on the platform. Rankings are calculated automatically based on match outcomes, opponent strength, and tournament performance.

11.4 Disputes

Match disputes (scores, rule violations) must be resolved according to tournament rules and organizer decisions. Tennivo is not responsible for adjudicating match disputes.

12. Liability & Disclaimers

12.1 Platform Role

Tennivo is an intermediary platform that connects players with tennis clubs. We do not own, operate, or manage tennis clubs or courts. Clubs are independent entities responsible for their own operations, safety, policies, and legal compliance.

12.2 No Warranty

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that:

  • The Service will be uninterrupted or error-free
  • Defects will be corrected
  • The Service is free of viruses or harmful components
  • Information provided by clubs or users is accurate or complete

12.3 Limitation of Liability

To the fullest extent permitted by law, Tennivo shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses resulting from:

  • Your use or inability to use the Service
  • Injuries sustained at tennis clubs or during play
  • Actions or omissions of clubs or other users
  • Unauthorized access to your account or data
  • Errors or inaccuracies in content

12.4 Assumption of Risk

Tennis is a physical activity that carries inherent risks of injury. By using the Service to book courts or participate in tournaments, you acknowledge and assume all risks associated with playing tennis.

12.5 Indemnification

You agree to indemnify, defend, and hold harmless Tennivo and its officers, directors, employees, and agents from any claims, liabilities, damages, losses, and expenses arising from your use of the Service or violation of these Terms.

13. Account Termination

13.1 Termination by User

You may terminate your account at any time by contacting us at support@tennivo.com. Upon termination, your access to the Service will cease.

13.2 Termination by Tennivo

We reserve the right to suspend or terminate your account immediately, without notice, for conduct that we believe:

  • Violates these Terms
  • Causes harm to other users or the platform
  • Exposes Tennivo to legal liability
  • Is fraudulent or illegal

13.3 Effect of Termination

Upon termination, your right to use the Service ceases immediately. All provisions of these Terms that by their nature should survive termination shall survive, including ownership provisions, warranty disclaimers, and limitations of liability.

14. Changes to These Terms

We reserve the right to modify these Terms at any time. If we make material changes, we will notify you by:

  • Posting the updated Terms on this page
  • Updating the "Last Updated" date
  • Sending an email notification to registered users

Your continued use of the Service after changes become effective constitutes acceptance of the revised Terms. If you do not agree to the new Terms, you must stop using the Service.
